Every application has three seats at the table: the student, your team, and ours. Here is who does what at each stage, and what each of you sees on screen.

The student

A phone, a WhatsApp number, and a personal portal link. No account, no password.

Your team

A dashboard with your students, documents, messages, commissions. Owners invite managers and agents.

Licensed counselors who run the university side and a CRM where nothing about your student is lost.

  1. Stage 1 · Submitted

    The student arrives

    Student sees

    Clicks your referral link and browses 10,000+ programmes, or hands you their details in your office.

    Your team does

    Share the link anywhere: WhatsApp, your website, a fair. Or submit the student yourself in the dashboard in under a minute, with budget and intake if you know them.

    ParlaStudy does

    The enquiry is credited to you automatically, with a timestamped consent record. It appears on your dashboard and on our board at the same second.

    You receive an email; our counselor sees it in “My Day”.

  2. Stage 2 · In contact → Qualified

    First conversation

    Student sees

    Hears back the same working day on WhatsApp or email, in English, Arabic or Urdu, with a fee sheet and honest answers on recognition and cost.

    Your team does

    Referral: sit back, the timeline shows every touch. Co-managed and white-label: you lead the conversation and message our counselors inside the student page.

    ParlaStudy does

    A named counselor takes the file, checks eligibility against the programme’s requirements, and writes a profile: budget, intake, funding, worries. Nothing is guessed twice.

    Stage changes email you when you switch that on.

  3. Stage 3 · Documents

    The checklist

    Student sees

    Gets a personal portal link: a checklist of what is needed, upload from the phone, and the verdict on each file. White-label students see your brand, not ours.

    Your team does

    Upload on the student’s behalf from the dashboard. A rejected file comes back with the reason, so nobody chases a blurry scan twice.

    ParlaStudy does

    We review every document, approve or send it back with a note, and build the application pack the university expects.

    Each review decision is emailed to you.

  4. Stage 4 · Applied

    Submitted to the university

    Student sees

    Sees “Applied” in the portal and knows the typical waiting time for that university.

    Your team does

    Nothing to do. Ask a question in the student page whenever you like.

    ParlaStudy does

    We file with the university’s international office, follow up, and answer their queries.

  5. Stage 5 · Offer

    The offer letter

    Student sees

    Receives the offer and the deposit deadline through you or through us, depending on the model.

    Your team does

    Confirm acceptance with the family. The offer letter and any invoice live in the student’s documents.

    ParlaStudy does

    We check the conditions, chase the university for the official letter, and prepare the visa file.

    Offer emails are sent to your whole team.

  6. Stage 6 · Visa

    Visa authorisation

    Student sees

    Uploads the signed admission letter; gets the authorisation code and the embassy steps in plain language.

    Your team does

    Keep the passport valid and the student calm. Everything else is on the timeline.

    We request the ministry authorisation code, track it, and brief the student on the embassy appointment and arrival.

  7. Stage 7 · Enrolled

    Enrollment confirmed

    Student sees

    Arrives, registers, and gets a dormitory. The portal shows “Enrolled”.

    Your team does

    The student is counted in your enrolled total. Your enrolled-student list is your proof of work.

    We record the enrollment: programme, intake, first-year tuition. That record is what creates your commission.

  8. Stage 8 · Commission

    Commission and payout

    Student sees

    Nothing changes for the student.

    Your team does

    A pending commission appears in your ledger the moment enrollment is recorded. Approved, then paid, with a transfer reference. Balance always visible.

    ParlaStudy does

    An admin approves it against the agreement (fixed amount, or a percentage of first-year tuition), then pays within the agreed terms.

Your students stay yours

Tenant isolation is enforced on the server: a partner can never see another partner’s students, and an agent sees only the students they submitted. Changing which partner a student belongs to is an admin-only action with a written reason and an audit trail.

Contact details are guarded

Inside ParlaStudy, counselors see contact details only for their own students. White-label partners decide whether we may contact their students at all.

Consent is recorded

Every student you submit carries a consent record: what they agreed to, when, and under which version of the privacy notice. Students can ask for a full export or erasure at any time.
